In some situations, Numerik admins may need to set up dummy users in Numerik to ensure that the sales hierarchy is complete and functional. This is especially common when certain states, territories, or areas have groups of sales representatives but no actual manager assigned to oversee them. Dummy users act as placeholders, allowing you to structure the hierarchy correctly until a real manager is appointed.
This guide walks you through the recommended process for creating dummy users and building a clean hierarchy in Numerik.
Step 1: Back Up Your Existing Data
Before making any changes, always download and save:
Customers list
Sales Rep Leaderboard from the Scorecard page
These files act as your backup in case you need to revert any changes.
Step 2: Create Dummy Users
Dummy users are created the same way as regular users, using the User Creation page.
How to Create a Dummy User
Go to User Creation.
Enter basic details (Name, Role, etc.).
For email, use a dummy email format, for example:
state1manager+numerik.ly@gmail.comSave the user.
Tip: Use naming conventions that clearly describe their dummy purpose (e.g., State 1 Manager, Area A Lead).
Step 3: Prepare the Hierarchy File
To update or build the hierarchy:
Download the Sales Rep Leaderboard from any scorecard.
Open the file and remove all unnecessary columns.
Keep only:
Sales Rep (or equivalent identifier)
All manager columns
Update the Manager column to reflect your new hierarchy, including:
Dummy managers
Real managers
Correct reporting lines
Save the file once all hierarchy changes are complete.
Step 4: Upload the Updated Hierarchy
Use the Sales Rep + Manager Uploader to apply your updates.
Upload the edited file.
Carefully map the columns during the upload process.
Complete the upload to apply the new structure in Numerik.
Once this upload is successful, Numerik will generate the new hierarchy—even where dummy managers have been used.
Step 5: Assign Roles to Dummy Users
After the hierarchy is created:
Open each dummy user in the User Creation page.
Assign the correct role—for example:
State 1 Manager, Area Supervisor, etc.
Adding the role ensures that the dummy user fits properly into the hierarchy and displays relevant data.
Step 6: Assign Scorecards to Dummy Users
To prevent hierarchy errors or broken reporting, dummy users must also be assigned the appropriate scorecards.
Go to Scorecard Assignment.
Assign the applicable scorecard(s) to each dummy user.
This ensures the hierarchy remains stable and functional.
Using the Same Process for Real Managers
The steps above are identical when assigning real managers.
The only difference is that you will:
Use real emails instead of dummy emails
Assign the actual manager roles instead of placeholder ones
Everything else—from hierarchy updates to scorecard assignment—remains the same.
