Uploading contacts into Numerik is a simple process, but it’s important to prepare your file correctly to ensure a smooth import. Follow the steps below to complete the upload without issues.
1. Download a Backup of Your Existing Contacts
Before making any changes, it’s best practice to download the existing contacts from Numerik.
Go to Customers → Contacts.
Use the Export option to download your current contact list.
Save this file — you’ll use it as a reference to confirm the correct columns and formatting.
2. Prepare Your Contact File
To avoid errors during upload, you’ll need to prepare a clean, accurate file.
a. Match Contacts to Customers in Numerik
Compare your ERP file with the Numerik contact export.
Use a lookup (e.g., VLOOKUP/XLOOKUP) to identify only customers that exist in Numerik.
Remove contacts belonging to customers not found in Numerik.
b. Remove Junk or Invalid Data
Clean your file to prevent upload issues:
Delete blank contacts
Remove invalid customer codes
Clean up any junk contact names or incomplete entries
c. Ensure All Required Columns Are Present
Your upload file must include all the correct column headers.
Mandatory fields:
Customer ID
Contact ID
Other fields can be included as needed (e.g., name, email, phone).
3. Access the Contact Upload Tool
Once your file is ready:
Go to Customers → Contact List.
Click Upload CSV.
The Upload Contacts page will appear.
4. Upload Your CSV File
Click Upload File and select your prepared CSV.
Numerik will attempt to auto-map the column headers.
a. Check the Column Mapping Carefully
Even if auto-mapping works, always double-check:
Ensure each column is mapped to the correct Numerik field.
If a header is incorrect or unmapped:
Untick the incorrect mapping
Drag and drop the correct column into place
This step is crucial to ensure accurate data import.
5. Complete the Upload
Once mappings are correct:
Click Upload.
Wait for the upload confirmation message.
Review your contacts in Numerik to confirm everything looks right.
Tips for a Successful Upload
Always back up your contacts first.
Ensure Customer ID and Contact ID match data already in Numerik.
If you get errors, recheck mapping or missing mandatory fields.
